Now Hiring: Office Manager @ Vineyard Preservation Trust

Are you an organized, tech-savvy professional passionate about community engagement and historic preservation? Join the Vineyard Preservation Trust as our Office Manager! This year-round role serves as the primary contact for the Trust’s front office and supports vital business functions, including Events, Fundraising, Marketing, and Building Management. We’re seeking a collaborative, detail-oriented individual who excels in client service and is committed to improving operational efficiency.

Key Roles and Responsibilities

Landmark Administration

  • Assist the Executive Director with Board of Trustees communications, donor and client correspondence, and grant support.
  • Coordinate with the Facilities Director on scheduling, building projects, tenant management, and permitting.
  • Provide administrative support for the Events Team.

Organization Infrastructure

  • Office Management: Maintain digital files (property records, photo archives, donor databases), support historic preservation research, and oversee IT systems and website management.
  • Daily Operations: Handle routine operational needs to ensure smooth office functioning.

Events Coordination

  • Provide administrative support before, during, and after events, including on-site vendor coordination and timeline management.

Qualifications and Characteristics

  • Education & Experience: Proven experience in office management, operations, or nonprofit administration.
  • Technology Proficiency: Expertise in tools like Google Workspace, with the ability to quickly adapt to new platforms.
  • Organizational Skills: Exceptional multitasking and time management capabilities in a fast-paced environment.
  • Communication Skills: Strong written and verbal communication skills to interact with diverse stakeholders.
  • Collaboration: Team-oriented with a positive, cooperative approach to problem-solving.
  • Client Service: Friendly, professional demeanor with a focus on maintaining excellent internal and external relationships.
  • Attention to Detail: Accurate and detail-driven, ensuring operational excellence across all areas.

Compensation and Benefits

  • Salary: $55,000
  • Job Type: Full-time, located at the Daniel Fisher House, 99 Main Street, Edgartown, MA
  • Benefits:

  • Schedule: 40 hours/week; occasional overtime or weekend work required, with compensatory time offered.
