Marketing and Communications Manager
Edgartown, Massachusetts • Full-time, year-round
The Vineyard Preservation Trust stewards 20 historic landmark buildings across four Martha’s Vineyard towns, including the Old Whaling Church and the Flying Horses Carousel. We keep these places in active use as venues, community spaces, and cultural destinations, supported by members, donors, sponsors, and visitors.
We are looking for a Marketing Manager to lead marketing for our properties, events, programs, and fundraising campaigns. This is a hands-on role for someone who can build the plan and then do the work, writing and launching much of it directly while directing a graphic designer, a social media team, and outside consultants. You will report to the Event Director in consultation with the Executive Director.
AREAS OF RESPONSIBILITY
- Build the annual marketing plan, calendar, and budget for events, programs, campaigns, and properties, and measure results against clear goals.
- Manage the creative brief for every initiative, and set the graphic designer’s day-to-day priorities.
- Write, edit, and proofread copy for email, web, print, social media, advertising, and press.
- Manage email marketing and newsletters, keep website content accurate and current, and direct social media strategy and execution.
- Build and manage the media plan, including paid placements across print, digital, radio, and social.
- Maintain press lists, draft releases, pitch stories, and track coverage.
- Market events to build attendance and ticket sales, and oversee sponsor and partner marketing deliverables through fulfillment.
- Support the Event Director on VPT’s tentpole events (Taste of the Vineyard, Generations Picnic etc)
- Steward the Trust’s brand standards and report performance across channels to the Executive Director.
QUALIFICATIONS
- Three to five years in marketing or communications, with responsibility for campaigns from planning through results.
- Strong writing and editing, with the range to speak to donors, visitors, sponsors, press, and the public.
- Hands-on experience with email platforms, social scheduling tools, website content management systems, and Canva or similar.
- Experience planning and placing paid media and working with designers and vendors.
- Comfort reading analytics and reporting
- Availability for evening and weekend work during events, more often in summer.
Experience at a nonprofit, museum, historic site, or in hospitality or tourism is helpful, as is familiarity with the Vineyard community and its media outlets, and an interest in history and preservation.
Compensation and benefits
Compensation is commensurate with experience in the $75,000+ range. The Trust offers health insurance, a 401(k) plan, and a generous paid time off package.

Office Manager
Edgartown, Massachusetts • Full-time, year-round • Potential part-time optional for the right candidate.
The Office Manager is the central point of coordination for the Trust’s administrative operations. Working across departments, properties, and programs, this person brings order to a busy organization and makes sure the people, information, materials, and systems needed to do the work are in place.
The Office Manager supports the Executive Director and serves as a dependable point of contact for trustees. This role is for someone who enjoys a fast pace, takes ownership, anticipates needs, and finds satisfaction in creating practical processes that help the entire Trust work well.
AREAS OF RESPONSIBILITY
Office Operations and Coordination
Keep the Trust’s office organized, responsive, and welcoming. Coordinate the flow of calls, email, mail, visitors, calendars, and shared information, and serve as a connecting point among staff and departments. Oversee ordering and tracking of supplies for the office, properties, and events, working with the appropriate staff to understand needs and budgets.
- Serve as the first point of contact for the Trust’s administrative office, covering the main telephone line, the general email account, incoming mail, and visitors, and routing each inquiry to the right staff member.
- Open, sort, and distribute incoming mail, and prepare outgoing mail and bulk mailings.
- Maintain the organizational calendar of meetings, programs, and events, and keep staff informed of what is on it.
- Order, receive, and stock office and kitchen supplies, and order commercial cleaning supplies at the direction of the Property and Grounds Manager.
- Track supply ordering against budget for the office, the properties, and events.
This work calls for sound judgment, a service mindset, strong follow-through, and the ability to shift between immediate needs and longer-term priorities.
Records, Technology, and Systems
Maintain reliable records, contact lists, files, and administrative systems so information is accurate and easy to find. Coordinate day-to-day support for office equipment and technology, manage software access and renewals, and help administer the platforms used for property sales, online transactions, event registration, and ticketing. Identify gaps and improve processes as the organization grows.
- Maintain the shared electronic file system and all paper files, following the records retention schedule set by the Director of Operations.
- Keep organizational contact lists and distribution lists accurate and current, and carry out the annual archiving and purge cycle.
- Serve as the day-to-day contact for the Trust’s outside IT contractor on staff computers, internet service, email accounts, printers, and support requests.
- Maintain accounts and user access for office software and hardware, including subscriptions, renewals, phones, and other office equipment.
- Administer point-of-sale systems at the properties and online eCommerce functionality
This work calls for attention to detail, comfort learning technology, respect for confidential information, and an instinct for making systems clearer and more useful.
Executive and Board Administration
Provide administrative support to the Executive Director and coordinate the schedules, communications, materials, and logistics that allow the Board and its committees to work effectively. Serve as a responsive contact for trustees, prepare meeting materials and draft minutes, and maintain accurate governance records.
- Support the Executive Director with scheduling, correspondence, travel arrangements, meeting preparation, and follow-up.
- Manage Board and committee meeting minutes and calendars, issue notices, prepare agendas, and distribute materials in advance of each meeting.
- Maintain the trustee roster, terms of service, committee rosters, and governance records
- Assist in the production of the annual board book and donor appeals
This work calls for discretion, polished communication, excellent writing, and the ability to manage sensitive work with care and consistency.
Properties, Materials, and Events
Support the administrative needs of the Trust’s properties and programs, including tenant communication and operational materials. Coordinate with staff, vendors, and volunteers to move projects from request through delivery.
- Serve as the day-to-day service contact for tenants
- Manage the key box, parking lot controls, and signage at properties
- Coordinate the design, production, mailing and installation of Trust-branded collateral
- In event season, provide administrative and logistical support to the Event Director and staff across Trust-produced events
This work calls for resourcefulness, cross-team coordination, care with budgets and deadlines, and a willingness to help where the work is happening.
Grants and Donor Support
Keep grant applications and reporting on schedule, assemble submissions using information provided by program and finance staff, and support the Executive Director with donor correspondence and follow-up.
- Maintain the grant calendar and administer the full cycle, including application assembly, submission, acknowledgment, reporting deadlines, and file retention.
- Assemble grant applications and reports using narrative supplied by the Executive Director and financial figures supplied by the Finance Director.
- Prepare donor stewardship and cultivation correspondence for the Executive Director’s signature, and track the follow-up each one calls for.
This work calls for careful tracking, clear writing, accuracy, and the ability to bring together contributions from several people into a complete, timely result.
QUALIFICATIONS
The ideal candidate brings at least five years of experience in office management, executive support, or nonprofit administration, including work with senior leadership or a governing board. They are highly organized, communicate warmly and professionally, write clearly, and can manage competing priorities without losing track of details. They are proficient with Microsoft Office and Google Workspace and confident learning new platforms.
Experience with grant administration, event systems, vendors, print production, or property administration is helpful. Familiarity with nonprofit governance or historic preservation is welcome. The role requires work on Martha’s Vineyard, including some evenings and weekends during event season.
